SAP S/4HANA Overview & SAP Fiori

SAP S/4HANA is the next-generation ERP built on the SAP HANA in-memory database. It combines transactional and analytical processing (HTAP) and provides a modern user experience through SAP Fiori.

What is SAP S/4HANA?

SAP S/4HANA rewrote the core ERP application to fully exploit the capabilities of the SAP HANA database. Key pillars:

  • In-memory computing: The entire database fits in RAM, eliminating disk I/O bottlenecks. Both OLTP and OLAP run on the same data in real time (HTAP โ€“ Hybrid Transactional/Analytical Processing).
  • Simplified data model: Aggregate tables (FAGLFLEXT, BSAD, etc.) are eliminated. All data flows into the Universal Journal (ACDOCA), reducing storage by up to 70%.
  • Intelligent Enterprise: Embedded machine learning, AI, and robotic process automation (RPA) are built into business processes.
  • Deployment options: Cloud (Public / Private Edition) or On-Premise. One code line ensures consistency.

SAP Fiori User Experience

SAP Fiori is the user experience layer for SAP S/4HANA. It follows five design principles:

  • Role-based: Each user sees only the applications relevant to their role.
  • Responsive: Works across all screen sizes โ€“ desktop, tablet, and mobile.
  • Simple: 1 user, 1 use case, 3 screens maximum per app.
  • Coherent: Consistent look and feel across all SAP products.
  • Instant Value: Low barrier to adoption with minimal training needed.

360-degree view of an object (e.g., a vendor) and contextual navigation between related objects. Requires HANA.

Universal Journal (ACDOCA)

Key Innovation in S/4HANA Finance The Universal Journal (table ACDOCA) is the single source of truth for all finance postings. Every document line item โ€” from FI, CO, AA, and COPA โ€” is written to one table. This eliminates reconciliation, reduces data footprint, and enables real-time reporting without data replication.

The Universal Journal enables continuous accounting โ€“ postings flow through Accounting โ†’ Compliance โ†’ Entity Close โ†’ Intercompany โ†’ Consolidation โ†’ Disclosure in one integrated flow.

  • FI line items (previously BSEG): now in ACDOCA
  • CO line items (previously COEP): now in ACDOCA
  • Asset Accounting values: now in ACDOCA
  • COPA actual values: now in ACDOCA
  • Plan data: stored in ACDOCP

General Ledger Accounting (FI-GL)

The General Ledger is the core of Financial Accounting. All subledger postings flow automatically into the GL. In S/4HANA, document splitting and parallel ledgers are standard features built on the Universal Journal.

Organizational Elements
Master Data
Posting Transactions
Parallel Ledgers
Document Splitting

Key Organizational Units in FI

  • Client: Highest level in SAP hierarchy. All company codes within a client share master data (e.g., chart of accounts, business partners).
  • Company Code: The smallest organizational unit that produces a complete self-contained set of accounts. Required for all FI postings.
  • Chart of Accounts: A list of all G/L accounts used in one or more company codes. Three types: Operating, Country-specific, Group.
  • Fiscal Year Variant: Defines the fiscal year structure (calendar year or non-calendar). Controls posting periods.
  • Posting Period Variant: Controls which periods are open for posting for each account type.
  • Business Area: Optional. Used for cross-company-code financial reporting.
  • Profit Center / Segment: Used for segment reporting under IFRS 8. Document splitting ensures balance sheets by segment.
Variant Principle SAP uses variants to share settings across multiple company codes. A fiscal year variant or posting period variant is defined once and assigned to many company codes โ€” avoiding redundant configuration.

G/L Account Master Record

A G/L account master record has two views:

  • Chart of Accounts segment: Account number, short/long text, account type (balance sheet / P&L), group account number.
  • Company Code segment: Currency, field status group, open item management, line item display, tax settings.

In S/4HANA, G/L accounts are created and maintained via the Fiori app "Manage G/L Account Master Data".

Business Partner (S/4HANA)

In S/4HANA, vendors and customers are managed as Business Partners (BP). The BP concept replaces the separate vendor master (transaction XK01) and customer master (XD01).

  • One BP can have roles: FI Vendor (FLVN01), FI Customer (FLCU01), and others simultaneously.
  • General data (address, communication) is stored once at the BP level, reducing data redundancy.

Posting Transactions in the G/L

Every posting in SAP creates a document โ€” the fundamental unit of accounting. A document has:

  • Document header: Document type, posting date, document date, currency, reference, header text.
  • Line items: G/L account, debit/credit indicator, amount, tax code, cost center, profit center, segment.

Document types control: number ranges, account types allowed, and document behavior (e.g., SA = GL document, KR = vendor invoice, DR = customer invoice).

Posting Period Control

  • Managed via the Posting Period Variant. Open periods are controlled per account type (+, A, D, K, M, S).
  • Special periods (13โ€“16) are used for year-end closing adjustments.
  • Transaction OB52 (or Fiori app) opens/closes periods.

Reversal and Correction

  • Normal Reversal: Creates a counter-entry in the same period (debit/credit swapped).
  • Negative Posting (Storno): Reversal with the same sign in the original period โ€” prevents double counting in period totals. Requires activation in company code settings.
  • Accrual/Deferral documents can be set for automatic reversal in the following period.

Parallel Accounting / Parallel Ledgers

Companies reporting under multiple accounting standards (e.g., IFRS and local GAAP) use parallel ledgers in S/4HANA:

  • Leading Ledger (0L): The primary ledger, required for all postings.
  • Non-leading Ledger: Stores delta values for alternative accounting standards (e.g., IFRS, US GAAP, local GAAP).
  • Extension Ledger: New in S/4HANA. Stores only the delta versus the leading ledger โ€” efficient use of storage.

Ledger Group-Specific Postings allow entering values only in a specific ledger without affecting others โ€” used for IFRS vs local adjustments.

Document Splitting

Document Splitting ensures that each financial document is split along a characteristic (e.g., Profit Center or Segment), enabling balance sheet reporting at a more granular level. Required for IFRS 8 segment reporting.

  • Active Splitting: Split logic is explicitly applied during posting. Rules define how to split line items (e.g., proportionally by expense).
  • Passive Splitting: Splitting information is inherited from related documents.
  • Zero Balance: Balance-correcting line items are generated to ensure each profit center has a balanced document.
Document Splitting โ€“ S/4HANA vs ECC In ECC, New GL with document splitting was an optional activation. In S/4HANA, the Universal Journal always captures all splitting characteristics โ€” document splitting is standard behavior.

Accounts Payable (FI-AP)

FI-AP manages all payables to vendors โ€” from vendor master data and invoice entry to payment runs, integration with Materials Management, and period-end closing.

Vendor Master Data (Business Partner)

In S/4HANA, vendor master data is managed as a Business Partner (BP) with role FLVN01 (FI Vendor).

  • General Data: Name, address, bank details, communication.
  • Company Code Data: Payment terms, payment methods, reconciliation account, withholding tax, dunning data.
  • Purchasing Data (MM): Purchasing organization, incoterms, order currency.

The reconciliation account links the vendor subledger to the GL automatically: every AP posting generates a corresponding GL entry to the reconciliation account.

Accounts Payable Transactions

Invoice Entry
Payments
MM Integration
Closing
  • Document type KR: Vendor invoice โ€” debit expense/asset account, credit vendor.
  • Document type KG: Vendor credit memo โ€” debit vendor, credit expense/asset.
  • Net/Gross entry: In gross entry, tax is posted to a separate tax account; in net entry, tax is included in the base amount.
  • One-time vendors: Dummy vendor accounts used for occasional suppliers โ€” address entered at document entry time.

The Automatic Payment Program (F110) is the standard tool for generating outgoing payments:

  • Parameters: Run date, company codes, payment methods, vendor selection.
  • Proposal: System proposes open items due for payment. Can be edited manually.
  • Payment Run: Creates payment documents and clears open items. Generates payment media (checks, bank transfers, SEPA).
  • SEPA Credit Transfer / Direct Debit: European standard for electronic payments, fully supported in S/4HANA.
  • Digital Payments: S/4HANA supports modern payment methods via SAP Digital Payments add-on.

Payment Terms define the baseline date and payment conditions. Cash discounts (e.g., 2% within 14 days, net 30) are configured in payment term master data and automatically calculated during payment.

The AP / MM integration (Logistics Invoice Verification โ€“ LIV) is a three-way match process:

1
Purchase OrderMM-PUR
2
Goods ReceiptMM-WM
3
Invoice VerificationFI-AP / LIV
4
PaymentFI-AP F110
  • The GR/IR clearing account (Goods Receipt / Invoice Receipt) is used to record the liability until the invoice is received and matched to the goods receipt.
  • Price and quantity variances between PO and invoice are posted to variance accounts.
  • Balance Confirmations: Sent to vendors to confirm balances at period end.
  • GR/IR Clearing: At period end, uncleared GR/IR items are analyzed and accruals posted if goods were received but invoice not yet entered.
  • Clearing Open Items: Incoming payments or credit memos are matched against open invoices (open item management).
  • Payment Differences: Small differences within defined tolerances are automatically posted to tolerance accounts. Larger differences require manual resolution.

Accounts Receivable (FI-AR)

FI-AR manages customer accounting โ€” from invoicing and incoming payment processing to credit management, dunning, dispute resolution, and closing.

Customer Master Data (Business Partner)

In S/4HANA, customer data uses the Business Partner (BP) with role FLCU01 (FI Customer).

  • General Data: Name, address, bank details, tax registration.
  • Company Code Data: Payment terms, dunning area, reconciliation account, tolerance group.
  • Sales Data (SD): Sales organization, shipping data, pricing procedures.

AR Transactions

  • Customer Invoice (DR): Debit customer, credit revenue. Usually posted automatically from SD billing.
  • Incoming Payment (DZ): Debit bank/cash, credit customer. Clears open invoice items.
  • Down Payment (F-29): Special GL transaction for customer advance payments. Posted to a special reconciliation account.

Dunning Program

The dunning program automatically identifies overdue customer invoices and generates dunning notices:

  • Dunning Levels: Up to 9 levels with escalating fees and interest charges.
  • Dunning Procedure: Configured with dunning intervals, minimum amounts, and texts per level.
  • Dunning Run (F150): Selects overdue items, creates dunning proposals, and generates notices.
  • In S/4HANA, dunning notices can be sent digitally as PDFs via email or printed.

Dispute Management

When customers dispute an invoice or pay short, dispute cases can be created:

  • Dispute cases link to AR open items and track the resolution workflow.
  • Reason codes categorize disputes (e.g., pricing error, goods not received).
  • Integrated with Collections Management for proactive outreach.

Integration with Sales & Distribution (SD)

  • Billing documents in SD automatically create FI customer invoices via account determination (Account Key).
  • Revenue is posted per revenue account, taxes per tax account โ€” all determined by the SD pricing procedure.
  • Credit management in SD checks credit exposure (open orders + deliveries + AR open items) against the customer credit limit.

Asset Accounting (FI-AA)

FI-AA manages the complete lifecycle of fixed assets โ€” from capitalization through depreciation to retirement. In S/4HANA, New Asset Accounting integrates fully into the Universal Journal.

Org Structures
Master Data
Transactions
Depreciation
Reporting

Chart of Depreciation

The Chart of Depreciation is assigned to a company code and contains all depreciation areas. Each depreciation area can post to the GL independently:

  • Depreciation Area 01: Book depreciation (local GAAP) โ€” usually posts to GL in real time.
  • Depreciation Area 15: Tax depreciation โ€” posts delta to GL or is only statistical.
  • Depreciation Area 32: IFRS (International Financial Reporting Standards).

In S/4HANA New AA, each depreciation area writes to a corresponding ledger in the Universal Journal, enabling parallel valuation.

Asset Classes

Asset classes group similar assets (e.g., machinery, vehicles, IT equipment). They control:

  • Account determination (G/L accounts for acquisitions, depreciation, retirements)
  • Screen layout (which fields are required/optional in the asset master)
  • Default depreciation terms (method, useful life)
  • Number range for asset numbers

Asset Master Record

Each fixed asset has a master record with:

  • General tab: Asset description, serial number, inventory number, cost center, WBS element.
  • Time-dependent tab: Cost center, plant, business area (can change over the asset's life).
  • Depreciation areas tab: Depreciation key, useful life, start of depreciation per area.
  • Net book value: Calculated from acquisition value minus accumulated depreciation.

Mass changes to asset master records can be made via worklists โ€” efficient for fleet updates or reclassifications.

Asset Transactions

  • Acquisition (integrated): From MM purchase order โ€” GR/IR posting auto-capitalizes the asset.
  • Acquisition (non-integrated): Direct posting via transaction F-90 or Fiori app โ€” used for inter-company transfers or direct purchase.
  • Retirement (full/partial): Removes asset value and accumulated depreciation; posts gain/loss to P&L.
  • Transfer within company code: Moves asset from one cost center or asset class to another.
  • Intercompany transfer: Asset is retired in the selling company code and acquired in the receiving one โ€” potentially at different values.
  • Assets Under Construction (AuC): Costs are collected on a WBS element or internal order, then settled to a completed asset at capitalization date.
  • Unplanned Depreciation: Posts extra depreciation for specific events (damage, write-down) without changing the depreciation schedule.

Depreciation Calculation

  • Depreciation Key: Determines the calculation method (straight-line, declining-balance, units of production), the base value, and rounding rules.
  • Useful Life: Defined in the depreciation area. The system calculates the periodic depreciation amount automatically.
  • Depreciation Run (AFAB / Fiori): A background job that posts periodic depreciation to all relevant GL accounts. Must be run each period.
  • Fiscal Year Change: Must be executed in Asset Accounting before the new fiscal year starts โ€” opens the new year for asset postings.
  • Year-End Closing: Locks the previous year for AA postings and generates year-end reports.

Asset Accounting Reports

  • Asset Explorer (AW01N): Interactive asset history showing all transactions, depreciation simulations, and planned values.
  • Asset History Sheet: Formal statutory report showing opening balance, additions, retirements, transfers, depreciation charges, and closing balance per asset class.
  • Depreciation Simulation: Projects future depreciation before running the official depreciation posting.
  • In S/4HANA, Fiori analytical apps provide real-time dashboards for asset value monitoring across all depreciation areas.

Bank Accounting (FI-BL)

FI-BL manages bank master data, cash position monitoring, and the processing of incoming and outgoing payments via electronic bank statements.

Bank Master Data

  • Bank Master Record (FI12): Contains bank key, name, address, SWIFT/BIC code. Each house bank has one or more bank accounts.
  • House Bank: A bank account used by the company code for outgoing payments. Assigned a bank ID and GL account for the bank balance.
  • Bank Determination: Configured in the payment program to select the optimal bank for each payment based on currency, amount, and payment method.

Electronic Bank Statement (EBS)

  • EBS processing imports the bank's MT940/CAMT file and automatically posts the bank's debit/credit entries.
  • Posting Rules: Map bank transaction codes to G/L accounts and clearing rules.
  • Automatic Clearing: The system attempts to match bank entries against open items in AR/AP using search algorithms (amount, reference number).
  • Unmatched items go to a bank clearing account for manual processing.

Cash Management

  • Cash Position: Shows bank balances by value date โ€” inflows from AR and outflows to AP vendors.
  • Liquidity Forecast: Combines open AR/AP items with expected cash flows to project future bank balances.
  • In S/4HANA, the SAP Cash Management application provides advanced cash pooling, bank connectivity (SWIFT), and real-time position monitoring.

Financial Closing (S4F15)

Period-end and year-end closing involves a series of technical and accounting tasks across all FI subledgers to produce accurate financial statements.

Key Closing Activities

Valuation
Accruals
Fin. Statements
Closing Cockpit

Foreign Currency Valuation

  • Open items in foreign currencies are revalued at the closing exchange rate.
  • Unrealized gains/losses are posted to valuation accounts. In the following period, the valuation posting is reversed (reversed on day 1 of new period).
  • S/4HANA automatically handles the reversal using the accrual/deferral mechanism.

Regrouping Receivables and Payables

For balance sheet presentation, AR/AP items must be reclassified: debit balances on vendor accounts move to the assets side; credit balances on customer accounts move to the liabilities side.

Value Adjustments (Bad Debt Provision)

Individual and flat-rate valuation adjustments are posted for receivables that are unlikely to be collected (e.g., aging-based provisions).

Accruals and Deferrals

  • Accruals: Expenses incurred but not yet invoiced (e.g., accruing wages for the last week of December, invoice arrives in January).
  • Deferrals: Payments made in advance but relating to future periods (e.g., prepaid insurance).
  • In SAP, posted via transaction FBS1 with an automatic reversal date in the following period.
  • Accruals Management (S/4HANA): Provides automated accrual postings for recurring items and purchase order accruals (goods/services received but invoice outstanding).

Cost of Sales Accounting

An alternative P&L structure where expenses are classified by cost function (production, selling, admin) rather than by nature. Requires cost centers mapped to functional areas.

Financial Statement Versions

Financial Statement Versions (FSV) define how GL accounts map to balance sheet and P&L line items for statutory reporting. Configured in transaction OB58.

  • Multiple FSVs can exist (local GAAP, group reporting, management).
  • Transaction F.01 (or Fiori app) generates financial statements based on the FSV.
  • S/4HANA offers Fiori analytical apps with drill-down capability from financial statement line items to individual journal entries.

Balance Audit Trail

The balance audit trail (transaction FAGLB03) ensures that all GL balances can be reconciled from opening balance โ†’ all postings โ†’ closing balance. Required for statutory audits.

Financial Closing Cockpit

The Financial Closing Cockpit (transaction FCCL / Fiori app) is a workflow-based tool that organizes all closing tasks:

  • Task templates group recurring closing activities (e.g., "Run depreciation", "Post foreign currency valuation").
  • Dependencies between tasks are defined โ€” a downstream task cannot start until prerequisites are complete.
  • Real-time status monitoring across multiple company codes and fiscal periods.
  • Automated scheduling of background jobs directly from the cockpit.

Intercompany Reconciliation

For companies with multiple company codes, intercompany transactions must balance. In S/4HANA:

  • Every intercompany posting generates mirror entries in both company codes via a central clearing account.
  • The Intercompany Matching and Reconciliation app identifies differences between intercompany receivables and payables.
  • Eliminates intercompany profit/loss for consolidated group reporting.

Additional Financial Accounting (S4F13)

Advanced FI topics including automatic payment processing, dunning, correspondence, special GL transactions, document parking, validations/substitutions, and data archiving.

Automatic Payment Program (F110)

The automatic payment program selects due open items and generates payment documents:

  • Payment Methods: Check, bank transfer, SEPA credit transfer, SEPA direct debit. Configured per country and company code.
  • Bank Selection: Rules determine which house bank account is used for each payment based on currency, available balance, and bank ranking.
  • Digital Payments: Modern payment connectors (credit cards, real-time payments) are handled via the SAP Digital Payments add-on.
  • SEPA: The Single Euro Payments Area standard โ€” SEPA Credit Transfer (SCT) and SEPA Direct Debit (SDD) core/B2B are fully supported.

Special GL Transactions

Special GL (SpGL) transactions post to alternative reconciliation accounts instead of the standard AR/AP reconciliation account:

  • Down Payment Requests (F-37/F-47): Statistical posting โ€” notifies AR/AP of an expected advance payment without affecting GL balances. Creates a noted item.
  • Down Payments (F-29/F-48): Real posting โ€” debit/credit bank, credit/debit a special reconciliation account (e.g., "Down Payments Received").
  • Guarantees: Contingent liabilities recorded as statistical items.
  • Bill of Exchange: Used in some European countries for time-limited payment instruments.

Parking Documents

  • A parked document is saved in the system but not yet posted โ€” no impact on GL balances.
  • Used to enter incomplete documents for completion/approval before posting (workflow integration).
  • Document Holding: A temporary save that reserves the transaction code but does not create a document number (internal hold).
  • Parked documents appear in AP/AR open item lists but are excluded from financial statements until posted.

Validations and Substitutions

Validations and substitutions are user-defined rules that execute during document entry:

  • Validation: Checks a condition and issues a message (warning or error) if it is not met. For example: "If G/L account = 600xxx, cost center must be filled."
  • Substitution: Automatically fills or replaces a field value based on conditions. For example: "If company code = 1000 and business area = 9000, set profit center = 90001."
  • Configured in GGB0/GGB4 using ABAP Boolean/arithmetic syntax.

Data Archiving in FI

  • FI documents are subject to legal retention periods (typically 10 years in many countries).
  • After the retention period, documents can be archived from the live database to an archive server, reducing the active database size.
  • Archived documents remain accessible via SAP's archive information system (AS).
  • In S/4HANA, SAP ILM (Information Lifecycle Management) handles archiving policies.

FI Customizing & Configuration (S4F12)

Core configuration of Financial Accounting performed in the Implementation Guide (IMG / SPRO). Covers organizational units, chart of accounts, document control, and posting rules.

Core FI Configuration Sequence

1
Define Company CodeOX02
2
Create Chart of AccountsOB13
3
Assign CoA to Company CodeOB62
4
Define Fiscal Year VariantOB29
5
Assign FY VariantOB37

Key Configuration Topics

Org Units

Company Code Settings

Country, currency, language, chart of accounts, fiscal year variant, field status variant, posting period variant.

Variant Principle

Fiscal Year Variant

Calendar or non-calendar year. Special periods for year-end adjustments. Maximum 16 posting periods.

Master Data

G/L Account Groups

Groups control number ranges and field status for G/L accounts. Separate groups for balance sheet, revenue, cost, statistical accounts.

Currency

Currency & Exchange Rates

Currency types (10=company code currency, 30=group currency, 40=hard currency). Exchange rate types (M=standard, B=bank buying, G=bank selling).

Documents

Document Types & Number Ranges

Each document type has a number range. Number ranges can be internal (system-assigned) or external (user-entered).

Clearing

Tolerances

Tolerance groups define permitted payment differences for employees (upper limits) and customers/vendors (cash discount percentages and amounts).

Taxes

Tax Codes

Tax codes define tax type (input/output) and tax rate. Account assignments for tax postings are defined in FTXP. Jurisdiction codes used in some countries.

Business Partner

BP Configuration

Account groups control number ranges and field status for vendors/customers. BP role categories map FI subledger roles to the unified BP.

Payment Terms Configuration

Payment terms (OBB8) define the structure of payment conditions:

  • Baseline Date Calculation: Document date, posting date, entry date, or from invoice date.
  • Payment Terms Block: Three payment blocks with day limit, percentage discount, and number of days.
  • Example: "2% within 14 days, 1% within 30 days, net 60": If paid by day 14 โ†’ 2% discount; by day 30 โ†’ 1% discount; by day 60 โ†’ no discount.

Common Practices for SAP S/4HANA Implementation

Migration from ECC to S/4HANA Key changes in configuration: (1) Business Partner replaces vendor/customer master โ€” migration tool FLBPD1 converts existing data. (2) New Asset Accounting requires migration from Classic AA. (3) New GL document splitting replaces the optional classic document splitting. (4) ACDOCA replaces FAGLFLEXT and BSEG as the primary data source for all FI reports.
  • SAP Readiness Check analyzes your ECC system and identifies required changes.
  • Simplification List documents all features removed or changed in S/4HANA.
  • Custom Code Migration Guide helps adapt ABAP programs to the new data model.
  • SAP Best Practices provide pre-configured content for accelerated implementations.
